We run several campuses and a dozen programmes. How does routing work?
One number in front of all of it. Routing rules dispatch on campus, programme, intake, language and source, so an enquiry reaches the counsellor who can actually answer it. Each counsellor sees only their own queue, admissions heads see everything, and reassignment when someone leaves or goes on leave is a change of rule rather than a change of phone.
Do we message the student or the parent?
Both, on separate threads, with different content. A student gets timetables, assignment deadlines and doubt-clearing; a parent gets progress summaries, attendance and fee reminders. Contacts are linked to the same student record so nobody has to reconcile two systems, and consent and opt-out are tracked per contact rather than per student.
Many of our applicants are minors. How is that handled?
Where the applicant is under 18, the flow is built to collect the parent or guardian as the consenting contact before personal data or documents are requested, with that consent timestamped and retained. The DPDP Act treats children’s data as a distinct category with its own obligations, so this is configured deliberately per institution during onboarding rather than assumed — and conduct scoring flags conversations where documents were requested ahead of consent.
Our volume is ten times higher in admissions season. What happens then?
That is the case the AI agents are for. The agent layer absorbs the enquiry spike without a proportional counsellor spike, and AI voice picks up the numbers that never open a message. Where it matters is the shape of the season: the last week before a deadline is not the same problem as a steady Tuesday, so cadences, escalation thresholds and human-queue routing are set per intake rather than left on one static configuration.
Will WhatsApp approve templates for education content?
Outbound templates go through Meta’s approval process, and the platform manages submission, versioning and rejection reasons in one place. Education content has real constraints — no guaranteed-outcome claims, care with minors, clear opt-out language — so an internal approval step runs before submission. In practice that means fewer rejections and a documented approval chain, which matters when a regulator or a parent asks what you actually sent.
